Small Gatherings (20–100 guests)
These are the most flexible events to cater. A compact team, a simpler menu, and shorter lead times usually work fine — often just 3–7 days' notice.
Mid-Size Events (100–400 guests)
This is where most birthdays, engagements and smaller weddings sit. You'll want at least 2–3 weeks' lead time to properly plan counters, staffing and a menu tasting if needed.
Large Weddings (400–1000+ guests)
At this scale, timing becomes critical — not just cooking capacity, but serving speed. Multiple live counters, a larger serving team and a buffet layout designed for fast guest flow all matter more than menu variety. We recommend booking 4–8 weeks ahead for events this size.
The Real Question to Ask
It's not "can you handle my guest count" — almost any caterer will say yes. Ask instead how many live counters and serving staff they'll actually deploy for your specific number, and what their plan is if the count changes by 10–15% close to the date.
